The challenge

The organization handled extensive financial records, sales documents, logistics and transportation paperwork, compliance files, and operational reports — almost all of it in physical form. Finding a specific invoice, contract, or shipment record meant digging through filing cabinets or shared drives with no clear structure. Manual sorting was slow and error-prone; retrieval time hurt audits and day-to-day decisions. Departments needed access to their own documents without seeing everyone else’s. The goal was clear: digitize and organize large volumes of scanned documents, classify them automatically, and make them searchable and accessible by role — while keeping confidentiality and compliance intact.

What we built

We developed a robust AI-driven Document Management System (DMS) that lets users upload scanned documents; the system then automatically classifies and categorizes them using intelligent document recognition and contextual analysis. Documents are placed into the right folders (financial, sales, transport, compliance, etc.) without manual intervention. The solution is built for high-volume scan processing so that large historical datasets can be indexed and retrieved quickly. Role-based access control (RBAC) ensures that finance, sales, logistics, and management see only what they’re allowed to — strengthening confidentiality and compliance. Each document can generate a concise, structured AI summary so decision-makers can grasp key figures, order details, or shipment information without reading entire files. Advanced search allows retrieval by keywords, dates, invoice numbers, client names, transport IDs, or document type in seconds.

Results

Manual sorting was effectively eliminated. Document retrieval time dropped dramatically. Inter-department coordination improved because the right people could access the right documents when they needed them. Data governance was strengthened through a clear structure and access rules. What was once a paper-heavy operational environment became a structured, searchable, and intelligent digital archive — enabling faster audits, better compliance management, and improved operational efficiency across the steel manufacturing enterprise.
